Systems Access

University Advancement employees have access to numerous systems for daily job functions. Below is a consolidated check list for your technology needs.

  • New employees can obtain their photo identification and set up a first-time e-mail account at the registrar’s office in the lower level of Lucina Hall.
  • Access to the University Advancement database requires:
    • IBM system access request form
    • confidentiality agreement
    • Access to Imaging System. The form is accessible under “Request WebXTender, ApplicationXTender, ScanXTender access.” Your Ball State username and Outlook account must be set up in order to access this form.
    • Department e-mail group: Have your department head or his or her representative contact Amy Reed to have your name added to your department e-mail group.
    • Training in the following systems:
      • Advance
      • Imaging
      • Reporting
      • Contact Barbara Keppler in Advancement Services to set up training for Advance, Imaging System, reporting procedures, and usability. A staff member will provide the training in your office.
      • Set up your account for Advance.
        • You will need to print this form and follow the signatures listed. Amy Reed is the area coordinator for University Advancement.
        • Sign the confidentiality agreement. Employees are required to sign a confidentiality agreement acknowledging they agree to proper use and disposal of all information before gaining access to the systems.
