Alumni Council Meeting Minutes
131th Meeting           
January 14, 2012

President Stout called the 131th meeting of the Ball State University Alumni Council to order at 10:06 am.

INTRODUCTION OF NEW COUNCIL MEMBERS

Kathy Thomas is the new representative from the Nursing Constituent Society.  She graduated from nursing in 1979 and started her professional nursing career in Muncie.  After a few years she relocated to Indianapolis where she spent majority of her career as a surgical nurse and bedside nurse.   She retired in 2007 following which she became active with the Nursing Alumni Society.

Chris Courtney, a new alumni council at-large member, graduated from Ball State University in l988.  He grew up in Muncie near the campus.  Chris has been a political advisor for the U.S. government the past two decades and has served around the world and currently resides in New Mexico.  He was a member of the Homecoming Steering Committee as an undergraduate.

Pamala Morris, a new alumni council at-large member, graduated with a bachelor’s degree in elementary education in 1969 and a master’s degree in 1972.   Pamala started teaching in the Indianapolis Public Schools and finished her career as an elementary school principal.  She left IPS in 1992, and accepted a position at Purdue University in the College of Agriculture as assistant dean in the office of multicultural programs.  She currently serves as president of the Ball State University Black Alumni Constituent Society.

Lana Manikowski grew up in Chicago and graduated from Ball State University in 1997.  She moved to Washington D.C. to work in public policy and public relations.  Lana served as the alumni ambassador for the Washington D.C. area.  She now resides in Chicago and works in surgical implant sales.  This is her first term as an at-large member of the council.

Gwen Adell, who could not attend the meeting, is the new council representative from the Teachers College Alumni Association.

MINUTES

Referring the Council to pages 3-9 of the background report, Stout asked for corrections or additions to the minutes from the 130th meeting on Sept. 24.  Hearing none, Jim Andrew moved to approve the minutes as presented, Larry Metzing seconded. The motion carried by voice vote.


REPORTS

Executive and Finance Committee

Chairman Kim Stout thanked Terry Coleman for his leadership during the past year, and recognized Coleman as a leader who has been dedicated to the search for the new executive director of alumni programs.

Stout provided an update on the Alumni Association Investment Fund #407 in the Ball State University Foundation.  The fund existed at the foundation for several years and earned interest, but was not classified as an endowed fund.  The fund is now classified as a stable value fund and will earn annual interest and the principal cannot be invaded.  Earnings from the fund will be available to finance alumni programs.

The BOLD Campaign included a Young Alumni initiative which had a goal of generating 1,000 new young alumni donors.  The campaign committee was provided a $10,000 matching gift to utilize in the process.  The committee met the goal and was given choices of where to deposit the matching gift.  The committee made the decision to award the matching gift to the alumni association to be added to the principal of the new association endowment fund. Larry Metzing, chairman of the new alumni donor initiative for the BOLD Campaign, reported on his committee’s efforts.  It was charged with increasing alumni contributors by 25%.  The committee did not achieve the goal, but came very close.  The committee’s efforts impressed the anonymous donor and the $50,000 matching gift is being made available for the committee to award.  Metzing indicated the committee is recommending the $50,000 match also be placed in the Alumni Association Investment Fund #407.           

Ball State University Foundation

Wayne Estopinal reported the foundation’s next meeting is February 16-17, 2012.  The Ball State University Foundation continues to lead the way for university foundations across the country.  The rapid change of the investment market and the long lag times between investment committee meetings was creating challenges for the foundation.  A change in the way the foundation does business with regards to investment has been made.  Tom Heck has been outsourced from the foundation to a firm in New York, thus allowing the foundation to immediately respond to the investment market.  This management concept is being viewed as very innovative across the country.

The New York based company manages approximately $8B in assets.  The Ball State University Foundation assets total $201 million.   The university foundation experienced a 17% return on investments for the 2011 year.

We have a group of students who have about $500K in foundation investment assets. We were hard on them suggesting it wasn’t working the way it should be. Hopefully, we’ll begin seeing some better results by Feb. 16-17.

Ball State Board of Trustees:

Hollis Hughes expressed his appreciation to Terry Coleman for his outstanding leadership as chairman of the council.  Hughes reported that Matt Momper has been reappointed to another term on the Board of Trustees by the governor.  He also announced that Tom Bracken will be joining the board, replacing his father, Frank Bracken.  This will assure the continuation and tradition of a member of the Ball family as a trustee for the university. 

The trustees will elect officers at their next meeting.  The board is aggressively working on its legislative agenda.  A proposal has been developed by the board that will speed the process to graduation and reduce the amount of tuition required to pay for their undergraduate education.  Ball State is now classified as a research-based institution along with Indiana University, Purdue University and IUPUI.  The development of the new five year strategic plan is continuing.  Distribution of the plan should begin to take place in May.  The university is also undergoing a new comprehensive study for the national accreditation process.

Wayne Estopinal reported that Hollis is an incredible president of the Board of Trustees.  He is a great ally for us as alumni and is a great partner to the administration.  The coming year is very important to the university.  Everyone really needs to be involved with the legislators in their communities and actively promoting our university.

Financial Position

Don Park, Interim Executive director, presented the alumni association’s financial report found on pages 11 through 17 of the background report.  The BSUAA had total assets of $2,693,000 on December 31, 2011.  Total liabilities were $105,334 and the total equity was $2,587,666.  The budget approved by the council for the 2011 year included expenditures of $576,000.  The end of the year report indicates that expenditures totaled $506,561 for the year.  Income for the same period was $595,668 which was adequate to fund all expenses and leave a budget surplus of $89,106. 82.  Much of the year’s financial success can be attributed to the $30,000 increase from the sale of affinity license plates and the up-front payment from INTRUST for BSUAA implementing its Visa credit card as the BSUAA affinity credit card. 

The proposed budget for 2012 was presented as indicated on page 16.  The proposed increase in expenditures of $614,600 is primarily the result of an increase of $30,000 in proposed legacy scholarships for 2012 and the need to purchase a new car for the association.  Income to fund the budget is proposed to be $510,000 with an additional $104,600 to be funded from alumni association reserves.  It is anticipated the continued increase in the sale of affinity license plates and affinity insurance policies will reduce the proposed level of funding from association reserves by the end of the year.  Doug Reddington moved approval of the proposed 2012 budget.  Vince Von Der Vellen seconded the motion, which was unanimously approved.

Park referred the council members to page 19 in the background report.  The Ball State University budget that supports the Office of Alumni Programs, including staff and program support, is presented on that page.  The level of support for the current year is $880,713.  The operation and success of the BSUAA is a collaborative effort between the university and the alumni association.

A brief discussion was held relative to Cardinal Corner, Inc. and the scope and quality of merchandise that is offered through the program.  It was agreed to investigate the expansion, scope, quality, and fashion of merchandise being sold; that outside vendors be explored to help operate the site for the association; and that on-line purchasing be provided. 

Services Committee 

Vince Von Der Vellen reported the following highlights from reports on pages 20-24.

1.  Cardinal Corner, Inc. – 644 orders were received during 2012 and the operating balance at the conclusion of the year was $121,527

2.  The new INTRUST affinity Visa card agreement was signed May 20, 2011 and became effective September, 2011.  Two unique cards have been developed.  INTRUST is actively marketing the new cards to alumni and 648 applications have been received.  Marketing will continue by direct mail, in the Alumnus magazine, and electronically.

3.  Alumni Affinity Insurance – 417 new and 1,157 renewed auto, home, life policies, and 453 medical insurance policies were sold through the insurance services program during 2011.   Total premiums were $161,050.

4.  Photo ID Program – 58 alumni ID cards have been issued since the September, 2011 meeting of the alumni council.  To date, 6,345 ID cards are in circulation.

5.  New Graduate Mailings – Responses to graduate mailings during 2011were 742 compared to 543 received during 2010.

Coach of the Year Awards

Nick Zuniga reported the alumni association has announced seven fall sports high school Coach of the Year award recipients.  The award is presented to Indiana high school head coaches in all IHSAA recognized sports.  Recipients are recommended and selected by colleagues throughout the state and Ball State athletic’s representatives.  This year’s recipients are:

New Media / Technology

Christy Horn introduced Steve Fulton to present a demonstration of the software being utilized to support the Cardinal Network for Higher Education.  The Cardinal Network will be composed of several hundred alumni and friends of the university who will provide advocacy support to the university at the local, state and federal legislative levels.  The floor was opened for discussion following the presentation. Topics discussed included ideas for recruiting network members; what role can the council play as advocates and in nominating network members; what type of contact with legislators work best; what type of metrics will be utilized to evaluate the network; and membership criteria for network membership.  All members of the alumni council, members of boards of alumni chapters and constituent societies, trustees of the university, and directors of the Ball State University Foundation have been included as members of the network.  It was agreed that each member of the alumni council would be asked to submit names of alumni from their area, or with whom they are acquainted, as nominees for network members.  Each nominee will receive a letter of invitation from the BSUAA explaining the purpose of the network and inviting them to join.

Horn reported the November issue of the Alumnus magazine (electronic edition) received 4,983 unique views which is an increase of 24 percent over the previous edition .  Push e-mail campaigns during October, November and December totaled 98.  Annual giving end-of-the-year push e-mails were sent to 40,169 alumni and 175 gifts in the amount of $44,002 were received.  Three on-line credit card processing companies are still under consideration and one should be selected to provide services for the BSUAA in the next few weeks.

The alumni association is managing 20 different pages in Facebook,   The main Ball State Alumni Association page has more than 5000 likes.  Our LinkedIn group has increased from 5,325 to 5,717 since the last council meeting.  Twitter followers have now reached 2,354.

Engagement Committee 

Christy Horn reported on the meeting of the Alumni Engagement Committee, which met on Friday afternoon and evening. The committee reviewed research relative to effective alumni engagement and discussed several categories of engagement programs including those for current students, young alumni, geographical and academic groups, electronic social media networks, effective magazine engagement and interdisciplinary groups.

The committee recommended that the staff of the BSUAA draft a proposal for increasing the effectiveness of engagement of Ball State University students to be presented to the committee for consideration at its April meeting. Research indicates that alumni who developed a relationship with the alumni association and alumni during their undergraduate years are the highest percent of alumni to become engaged with the university following graduation.

Alumni Activities 

Sam DeWeese asked council members to review the lists of past alumni association activities and future activities found on pages 25-28 in the agenda background report.

CONSTITUENT ORGANIZATION REPORTS

Alumni Chapters

Adams-Wells (Holly Mahnensmith)

Holly Mahnensmith reported the chapter hosted their Fall Adopt-A-Highway Clean-Up on Monday, October 10, 2011, at Preble Fireman’s Park with dinner following at Preble Gardens.  Nine alumni, family, and friends helped with the clean-up. 

The Family Bowling Outing will be Sunday, February 12, from 2 – 4 p.m. The next board meeting is scheduled for Sunday, February 12, prior to the Family Bowling Outing.

Greater Indianapolis

Mike Shumaker reported the last board meeting was held October 19, 2011.  The board reviewed their summer outings.  Twenty-three alumni and friends attended the Savion Glover theatre outing on April 1 at the Palladium; the Golf and Dinner outing was cancelled due to inclement weather; 92 guests attended the Indians Baseball and picnic outing on June 24, and the Symphony on the Prairie outing featuring music by Billy Joel and Elton John drew a crowd of 192 alumni.

The annual Indianapolis Casino Night is scheduled for Saturday, March 3 at the Northside Knights of Columbus Hall.  Russ Lawrence will chair the event.  Steph Meyers, Mike Shumaker, and Kara Traut agreed to renew their terms on the board.  The board is currently in the process of recruiting new board members. The next meeting will be held Wednesday, March 3, at 5 p.m.

Michiana

The Michiana Alumni Board of Directors last met October 15. The chapter hosted two events this fall - a Wine & Beer Tasting Party and the annual Woodfield Mall Shopping Trip.  Ninety-six alumni and friends gathered for the Wine & Beer Tasting at the Legends of Notre Dame, while 55 rode on the bus to Schaumburg, Illinois, for the shopping trip.  The board will meet  Monday, January 30, in Elkhart. 

Northeastern Indiana

The chapter board of directors last met Tuesday, January 10.  Charles Green, Mo Hire, Mike McMillen, and Jennifer Roherty agreed to serve on the scholarship committee for 2012. The chapter will host a reception at the Allen County War Memorial Coliseum before the Mad Ants basketball game on Friday, February 3.   Matt Momper is chairing the event.

The annual TGIF party will be Friday, February 24, at Columbia Street West from 5 – 7 p.m.  No reservation is required to attend.  Mo Hire will chair the event. The Science Central Family Outing will be from 1 – 4 p.m. on Sunday, March 4.  The chapter would like to thank Karen Francisco and Jo Ann Johnston for sponsoring the outing.  The next board meeting will be Tuesday, April 17.

Alumni Ambassadors/Alumni Leaders

Alumni Ambassador’s representative reported the Cardinal Network for Higher Education was added to the responsibilities of Alumni Ambassadors.  Alumni Ambassadors have been surveyed to determine their interest and willingness to continue to represent their geographic areas and fulfill the responsibilities of the volunteer role.  Twenty-four current ambassadors indicated they would be willing to continue in the role while 18 responded that they did not want to continue to serve.  Six have not replied at the time of this meeting.

Black Alumni Society

Mike Chisley reported the society is currently accepting applications for BACS Book Scholarships.  Four new members have been welcomed to the society board:  Nathan Boyd, Jarrod Dortch, Obie LeFlore, and Ed Wills.

Pamala Morris was reelected as president. Renee Akins and Teresa Jeter were elected as vice presidents.  They will also chair the 2012 Black Alumni Reunion. The next meeting is scheduled for February 25 and members are invited to attend a dinner hosted by the Black Student Association following the meeting.

Cardinal Football Alliance Referencing page 30 of the materials, Tracy Hendricks mentioned meeting with Coach Lembo, and his excitement for reinvigorating the group. A special event for all football lettermen is being planned by the CFA, BSUAA and football program for the 2012 spring game. The next meeting of the board of directors will be on April 21.

Professional Societies

College of Architecture and Planning

The board last met on Friday, October 28, 2011, in conjunction with CAP Alumni Day and Symposium. Four new members were added to the board: Catherine Baker, Craig Farnsworth, Larry Roan, and Karl Sonnenberg.  MJ Meneley was elected as the new president.

Alumni Day and Symposium followed the meeting and was a success.   This event is a wonderful opportunity for CAP Alumni to showcase to current students what they’ve been doing since graduating. There were 109 reservations for the recognition dinner where the following alumni were recognized: Distinguished Alumni Award – Bradley Barker; Award of Outstanding Achievement – Jeffrey Bone, Cynthia Bowen, Richard Fetz, Richard Moake; Charles M. Sappenfield Award of Excellence – Robert Koester. The Dean would like this group to take more of a direct role with planning Alumni Day and utilize alumni for subcommittees (with potential for subcommittee members to later serve on the board). The next meeting will be in February 9.

Family and Consumer Sciences

Jackie Johnston reported the board has not met in 10 months, and is currently seeking nominations for FCS alumni awards. The group is currently surveying alumni to obtain interests and best ways to engage graduates from 1990 to current.

Journalism

The society has not met since the last council meeting. The department is still searching for a new chair. Dan Waechter will continue to serve as interim chair. Planning another alumni reunion for 2013 is underway.

The awards committee will meet Tuesday, January 24, to select a slate of nominees and will present them to the board at the Journalism board meeting Saturday, January 28.The J. Pulliam Awards Luncheon will be hosted at the Student Center on April 11, followed by the spring board meeting.

MCOB

The board is working on scheduling speakers for Dialogue Days February 23-24. Business alumni who wish to be mentors to students from the business honors program are currently being sought. Three new members will be welcomed upon their confirmation at the January 17 meeting: Todd Haynes, Ed Armentrout, and Cory Spaulding.

Natural Resources and Environmental Management

The board is preparing for the 11th NREM Internship & Career Fair to be held at the Alumni Center Thursday, January 26.  The annual Alumni Awards Dinner will be held Friday, April 20. The next meeting will be Thursday, January 26, and five awards recipients will be confirmed.

 Nursing

A pinning ceremony was hosted in December for 44 new nurses. The board is preparing for the 2012 Nursing Alumni Banquet and reunions to be held April 28. Nominations for Nursing Alumni Awards are currently being accepted, with a meeting February 3 to discuss applications.

The next meeting of the board is scheduled February 9.

Teachers College

The board last met Saturday, September 10, 2011.  Dean John Jacobson updated the group on college news, including faculty and program recognitions at the university, state, and national levels, a profile of the college, immersive learning opportunities, grant funding, and accreditations. The group approved scholarship and award forms, made committee assignments, and elected officers for the coming year.  Phil Metcalf will serve as president, Alena Bogucki as vice president, Anthony Williams as secretary, and Gwenn Adell as alumni council representative. The next board meeting is scheduled Thursday, June 14, at 10 a.m. at the Alumni Center.

 STUDENT ORGANIZATIONS

Homecoming

Michelle Johnson reported that applications for the 2012 Homecoming Steering Committee have been sent out to all undergraduate students.  This year, a special postcard was mailed to the Legacy Scholarship recipients to announce applications were being accepted.  After applications are reviewed, all applicants will be interviewed in mid-February.  The selection committee will choose up to 16 students to help plan, organize and execute Homecoming for 2012.

The first meeting for the 2012 committee is slated for February 26, 2012.  All of the students on the 2011Homecoming Steering Committee will join the council for lunch today following the meeting.

St.A.R.T.

The group last met on Wednesday, December 7, 2011, to assemble Survival Kits.  They sold, assembled, and delivered 122 kits, bringing the group a profit of $1,402.97.  Total profit since the program’s inception in Fall 2004 is $18,553.88. 

St.A.R.T. members participated in the Student Voluntary Services Giving Tree program this year and provided Christmas gifts for four local children in need. A new event is being planned for Wednesday, February 1 from 8:30-10 a.m. at the Alumni Center.  Cardinal Coffee Club provides an opportunity for approximately 900 retired alumni in Delaware County to gather for coffee and pastries while socializing and using the Alumni Center.   St.A.R.T. members will host this monthly event and get the opportunity to network with alumni. Our next meeting is scheduled  Wednesday, January 18, at 8 a.m. in the Alumni Center.           


ALUMNI INVOLVMENT INDEX

Park referred the council to pages 32 and 33 in the background report.  The Alumni Index was created as a method to identify the level of engagement of alumni utilizing metrics.  Alumni who participate in BSUAA and advancement programs and activities, serve in volunteer roles, utilize association services, etc., are awarded points for each engagement.  More than 66,000 alumni were engaged in at least one activity last year. In addition to providing a measurement tool for engagement, the index helps identify the best prospects for targeted activities, marketing and communications.

ALUMNI COUNCIL COMMITTEE ASSIGNMENTS

Kim Stout referred the council members to page 33.  The 2012 committee assignments for the BSUAA are listed.  Most of the committees will be meeting during the next three months and reporting recommendations to the next meeting of the council.

NEW BUSINESS

Petition for Recognition of Ball State University Club of Chicago

A petition was submitted to establish an official alumni chapter for the greater Chicago area that includes seven counties.  The organization was developed during the BOLD Campaign

and is asking for recognition and affiliation with the university.  It is a model for future alumni clubs and the modification of existing alumni chapters.  It will serve the BSUAA , University Development, and University Advancement in the Chicago area.  Staff members from both alumni and development will support the organization.  The petition included a constitution and by-laws and more than the required number of 25 petitioners.

It was moved by Terry Coleman to accept the petition and approve affiliation of the organization with the BSUAA.  Tom Farris seconded the motion and it was approved by a unanimous vote. The first meeting of the board of the Ball State Club of Chicago will be in March.

Petition for Reinstatement of TCOM Constituent Society

A petition and request for reinstatement as an affiliate of the BSUAA was received from the Department of Telecommunications and the board of directors of the department’s

alumni organization. The society was originally established in l990 and recognized by the alumni association.  The society and the BSUAA discontinued the relationship in 1999.

The organization has continued to function as a department organization since that time.  It has been very active and highly engaged with alumni of the telecommunications programs.  The alumni association has supported the group in recent years in distributing newsletter and event announcements through social media programs.  The constituent society is now requesting reinstatement with the BSUAA. It has submitted a constitution and bylaws, has more than the 25 qualified petitioners, and most members of its board hold active alumni status. Wayne Estopinal moved to approve the petition on the condition that all members of the TCOM board meet the standard of being active members of the BSUAA by its next meeting. Larry Metzing seconded the motion and it was approved by a unanimous vote.

Authorization for Management of BSUAA Funds

The BSUAA maintains active accounts with several financial institutions.  Each institution requires authorization by the governing board that identifies the corporation officer who is responsible for financial transactions on behalf of the organization.  The following resolution was proposed to authorize Don L. Park, Interim Executive Director, as the signatory for all BSUAA accounts with financial institutions for consideration by the council.

Resolution

            Be it resolved that the Alumni Council and Board of Directors of the Ball State University Alumni Association designate Don L. Park, Interim Executive Director,  President, CEO and Treasurer as the individual responsible for managing the financial assets of the Ball State University Alumni Association and Cardinal Corner, Inc.  The assignment authorizes Don L. Park as signatory on accounts with the following financial institutions and for establishing accounts with other financial institutions as necessary.

The motion to approve the resolution was made by Terry Coleman and seconded by Larry Metzing. It was unanimously approved.

 

Formation of Committee Related to Cardinal Network

It was proposed that the alumni council be designated as an ad hoc committee of the whole to help identify alumni who they believe would be effective advocates for the university and members of the Cardinal Network for Higher Education. Each council member would be asked to submit nominees for network membership.  The motion was unanimously approved.  The alumni staff will send a copy of the original proposal for the network and a letter of invitation to join to each alumnus nominated by council members.

Proposal to Engage Undergraduate Students in Alumni Programs

The recommendation included in the report from the Alumni Engagement Committee was brought forward for discussion and consideration.  It was moved by Christy Horn that the association staff develop a plan to increase the engagement of university students with the BSUAA to be presented to the Committee on Engagement at its next meeting.  The motion was seconded by Doug Reddington and approved by unanimous vote.

 

OTHER BUSINESS FROM THE MEMBERSHIP

Update on Search for Executive Director

Hudson Akin, Vice President for University Adancement, reported the search process is continuing.  A search committee including Terry Coleman, Kim Stout, Wayne Estopinal and Doug Reddington from the alumni council was formed last fall.  Also included on the committee are Chip Jaggers, Director of University Development, Tony Proudfoot, Director of Communications and University Marketing, Cathy Bickel, Associate Director of Housing and Residence Life, and Bob Morris, Dean of Graduate Studies.   Fred Cox, Chairman-Elect of the alumni council is being added to the committee.  The position was advertised nationally and a large pool of applicants was received.  Through video interviews and committee conference calls, the pool was reduced to nine.  Four were brought to the campus for interviews and one was brought back for a second interview.  The candidate withdrew from the search following the second campus interview.  A new search will be initiated and the position will be re-advertised.
