About Our Office

The Contracts and Grants Office (CGO) is the unit within the Business Affairs area of Ball State University that has the responsibility for post-award administration of sponsored programs. The Sponsored Programs Office (SPO) works with faculty and staff in the pre-award process. Once the researcher or project director has completed the clearance process through the SPO, documenting all necessary pre-award review/approvals, and after an external sponsor has awarded funds for the project or study, the CGO’s work begins.

CGO has three major areas of responsibility:

  • Award Acceptance
  • Account Administration
  • Compliance of Sponsored Projects

Below is a summary of some of the activities that occur within CGO:

  • Fiscal management of grants and contracts awarded by external funding sources
  • Work with external and internal auditors for grant related audits
  • Billing/Invoicing to external agencies for work performed on grants and contracts
  • Interim/final financial reporting
  • Cost Share documentation/reporting
  • Sub-recipient monitoring
  • Training for post-award related issues
  • Assistance to the Principal Investigator with grant related questions
  • Project closeout activities
