Executive Oversight Group

The Executive Oversight Group translates the university’s strategic needs into the base requirements for information systems and project priorities. This executive group sets the direction, the priorities, and the standards for the integration of all information systems in use at Ball State University.

This group establishes the standards for approving the purchase and implementation of new information systems; it determines the guidelines for deciding when to purchase, upgrade, create or continue to support systems that align with the university’s mission; and its acts in an oversight capacity to monitor the university’s adherence to these documented policies, standards, and procedures.

The following principles guide the Executive Oversight Group in the decision-making process:

  1. All systems and projects must fulfill the functional requirements of the requesting department and the university’s requirements for comprehensive system integration, supportability, availability, and security.
  2. New systems must integrate with existing systems at a level sufficient to eliminate competing client services, prevent the duplication of stored data, and reduce the unproductive use of programming resources.
  3. All systems must improve or supplement existing services or produce new services to bring the university closer to achieving its stated goals.
  4. All requests for the purchase, development, and deployment of information systems and services must include a formal needs assessment evaluation and justification for its purchase and use.
  5. All systems with sub-standard management and inadequate security will be terminated and/or or replaced.

The Executive Oversight Group will formulate the planning principles to enable the APPS Group to apply a consistent process of review to every proposed system and/or project it evaluates and authorizes for production. The implementation of a formal planning process guarantees future success in positioning the financial and human resources toward those systems or projects having the greatest impact on the university.

This executive body undertakes the appropriate and continuous means necessary to conduct and/or commission the needs analysis of institutional systems with the primary objectives of reducing waste and improving services. This active oversight can bring about revisions to this document as emerging technologies develop and institutional priorities shift. It is the responsibility of this group to communicate and disseminate these changes to the APPS group and the university-at-large.
