Summer Assistant Job Description
Summer Assistants (SA) are often times the first person a guest comes in contact with while attending summer orientation or a summer conference at Ball State University. A SA's primary responsibility is efficient and quality customer service to the guest. The SAs are staff members of the Office of Housing and Residence Life and are supervised directly by summer staff supervisors.
General Responsibilities
- Actively support and demonstrate the Housing and Residence Life Mission and Diversity Statements
- Maintain a supportive and cooperative attitude in regard to fellow staff members and supervisors
Orientation Responsibilities
- Provide effective and quality customer service to all guests
- Serve as a source of information concerning the Ball State University and Muncie communities
- Facilitate orientation check-in (approximately 7-9 a.m.), hall check-in (approximately 3:30-6 p.m.), and check-out (approximately 6:30-9 a.m.), luggage check-out (approximately 2-4 p.m.) with fellow summer assistants
- Initially inspect rooms for damages and daily log any lost and found items
- Communicate, role model, and consistently enforce Housing and Residence Life handbook and conference policies
- Report all emergencies and situations to their supervisor(s)
Conference Responsibilities
- Provide effective and quality customer service to all guests
- Serve as a source of information concerning Ball State University and the Muncie communities
- Facilitate conference check-in and check-out
- Participate in the conference training program
- Participate in inspecting rooms prior to each conference
- Communicate, role model, and consistently enforce Housing and Residence Life handbook and conference policies
- Report all emergencies and situations to their supervisor(s)
Desk/Administration Responsibilities
- Complete room inventories and public area inventories for the hall
- Construct and maintain hall bulletin boards, informational signs, and other decorations as directed
- Work desk shifts in accordance to the supervisor's expectations
- Maintain computer database and cash register for orientation, conference, and hotel guests
- Participate in maintaining key inventories
- Provide linen service to all guests as requested
- Abide by all desk staff expectations
Duty Responsibilities
- Be on duty as assigned from 7 p.m. until 7 a.m. Duty nights will be assigned at the beginning of the summer.
- Be the first contact person in the event of a guest concern or emergency. Thee will be a director on duty to serve as a resource person.
- Complete at least three sets of rounds and be visible in the hall during duty coverage
- Post summer assistant/desk emergency contact information
Meeting Responsibilities
- Attend all staff meetings as deemed necessary by your summer staff supervisor
- Attend any training, individual, or staff meeting your summer staff supervisor deems appropriate
Compensation
- A single air conditioned room (for opening/closing preparation including initial/closing room/building damage checks, staff meetings, duty rotation and/or other duties as assigned), a value of approximately $2,030
- Hourly wage of $7.25 per hour for desk hours (mail, guest check-in and check-out, orientation housing registration when applicable) and training
- MicroFridge and bike locker use available upon request at no charge
