Because we understand how important it is for you to maintain old friends and foster new connections, the Ball State University Alumni Association is developing an alumni directory with the help of full-service publishing company, Publishing Concepts Inc. (PCI). We hope you'll respond to mail, email, and/or phone calls from PCI so that we can provide you with the most comprehensive and up-to-date list of alumni. The directories will be delivered in summer 2014.

Below is a list of frequently asked questions regarding the project:

Who is PCI?
PCI, also known as Publishing Concepts, is a Dallas, Texas-based company that creates and publishes alumni directories for educational institutions.

Is this a legitimate project?
Yes. The Ball State University Alumni Association has a contractual agreement with PCI that states:

The names, addresses and information provided to PCI by client for the publication of the directory will be held confidentially by PCI, except to the extent that they are utilized in, or in the preparation of, the directory and except as required by court order or law. The directory will be made available only to alumni of client listed in the directory. Upon completion of the project, PCI will return to client any and all electronic files that have been supplied by client or produced by PCI in connection with the production of the directory.

May I request that all or some of my information not be printed in the directory?
Yes. You may tell the caller what information you would prefer to have excluded when you call to update/verify your information. You may also communicate this information to the PCI customer service desk, 1-877-509-6799.

What safeguards are in place to ensure that the information in the directory is not misused by PCI or any other entity?
We make efforts contractually and through copyright laws to ensure the safety and confidentiality of information PCI collects on behalf of Ball State.

PCI is a trusted partner of the Ball State University Alumni Association. The company has agreed to a written confidentiality clause, limiting the use of the information contained in the directory to functions directly related to the preparation and promotion of the Ball State University Alumni Association Alumni Directory. Upon completion of the project, PCI will return to Ball State all files that have been supplied by the Ball State University Alumni Association or produced by PCI in connection with the directory.

Why is the Ball State University Alumni Association using an outside contractor to complete this project?
With a small staff, the Ball State University Alumni Association needs to use a professional company to ensure the directory is thorough, accurate, and completed in a timely manner.

What will the email request look like?
PCI will send out an email with a link to update your alumni record and options to purchase the directory, if you choose to do so.

If you receive any other suspicious email messages requesting that you reply via email to verify alumni information, these are likely scams. The only way that PCI is collecting updates on behalf of the Ball State University Alumni Association is through the link in the email or a toll-free number; the legitimate message will NOT ask you to reply via email. If you have any questions about the legitimacy of an email message, call the Alumni Association at 800-627-2586.

Why do I need to update my information?

  • Information changes quickly—mailing addresses, email addresses, etc. Because we haven’t done   an alumni-wide update in some time, our records could be out-of-date. We are missing an opportunity to keep our alumni informed of new initiatives, celebrate successes, etc.
  • This is a great way to help the Ball State University Alumni Association ensure that your information is 100 percent up to date.
  • The directory will be permanent record of Ball State alumni and will capture an accurate assessment of where our alumni are located.
  • It will help you and your fellow alumni stay closely connected to one another.

Who will be included in the directory?
The directory will contain all Ball State alumni except for those who choose not to be included. Deceased alumni will be listed with first and last name along with their graduation year.

I want to verify my information is correct. How can I do this?
If you have received an email or postcard with a telephone number, you can call to speak with a representative about the verification process. If you have received an email with a personalized URL, you can go to that website to check your information. If you have questions, you may call PCI’s customer service desk at 877-509-6799.

How long do I have to make changes and still have them appear in the directory?
Any changes submitted before January 28, 2014, will be reflected in the directory.

When can I order a directory and when will I receive it?
The total duration of the directory project is about 12 months. Since we began at the end of August 2013, directories will be distributed in August 2014.

I ordered a directory over the phone and would like to cancel my order. How do I do this?
Call PCI customer service help desk at 800-395-4724.

Is there an environmentally-friendly version of the directory?
Yes. Alumni can purchase a CD-ROM of the directory.

Can anyone purchase a directory?
The directory is available for sale only to Ball State alumni.
