All University employees, students, or volunteers participating in authorized activities involving unaccompanied minors must comply with the requirements of the Policy Regarding Unaccompanied Minors.
The purpose of the Policy Regarding Unaccompanied Minors is to provide appropriate protection and safety for minors who are involved in all authorized activities taking place on the Ball State University campus or under the authority and direction of the University at other locations.
Although full compliance with the policy is required, a brief description of the necessary steps to prepare for an authorized activity involving unaccompanied minors is as follows:
The “activity leader,” the person in charge of an authorized activity involving unaccompanied minors, must complete the following three steps prior to the beginning of the authorized activity:
STEP I: Registration of Authorized Activity:
Pre-register the authorized activity with the Office of Risk Management within 30 calendar days of the first day of the authorized activity.
To register an authorized activity, the activity leader shall complete the BSU Registration Form for Authorized Activities Involving Unaccompanied Minors and submit it to the Office of Risk Management: Registration Form- (Fillable if using Internet Explorer.)
STEP II: Background Checks for ALL Personnel/Individual Participants:
In collaboration with the Office of Risk Management and University Human Resource Services, the activity leader must facilitate and verify the successful completion of Ball State University individual background checks of all faculty, staff, students and/or volunteers who are involved in authorized activities.
To begin the individual background checks, the activity leader shall provide the full name and email address of each faculty, staff, student and/or volunteer who will be involved in an applicable authorized activity to both the Office of Risk Management and University Human Resource Services.
STEP III: Required Targeted Training Procedure:
In collaboration with the Office of Risk Management, the activity leader must coordinate, verify and record required completion of EduRisk Online training and required review and receipt of BSU Guidelines for Authorized Activities Involving Unaccompanied Minors.
The Office of Risk Management will maintain records of the completed training.
Please remember, no one will be permitted to interact with unaccompanied minors without completing the online training and background check prior to the beginning of the activity. (Please note: For those participating in multiple activities per year, the online training & background check must be completed within the past 365 days.)
