Position Function Statement:
This position will serve the University Apartments community performing a variety of functions both during the business day and after hours. The position requires student to work in a multi-faceted customer service environment and assist with overall administration of apartment operation. It offers the opportunity to work with a diverse and multicultural population while assisting current and prospective residents with University Apartment information.
The student must present a positive, friendly, and concerned attitude toward apartment residents, and support the policies of the Office of Housing and Residence Life, serving as a resource and positive role model. The student will address resident needs and establish a welcoming sense of community. The student must be discreet with sensitive and confidential information in accordance with the Family Education Rights and Privacy Act (FERPA). Student will be required to interact with residents and guests in the community office and apartment complexes in person, over the phone, and via email. This position must have the ability to work independently within a team concept.
- Provide quality customer service, answer phones, assist with maintenance requests, provide information on University Apartments’ contracts and policies
- Uphold and enforce policies and procedures outlined in the University Apartment Handbook, the Student Code of Conduct, and the University Apartments lease agreement
- Navigate office databases and university systems to input data, communicate to residents, and sort information and review for accuracy
- Distribute and communicate pertinent information to residents in a timely manner
- Execute and maintain proper office protocols and procedures, and paperwork completion, including billings, check-in/out paperwork, transfer paperwork, key audits, and filing
- Assist with apartment unit preparation, including inspection and light cleaning duties
- Complete safety inspections of each apartment throughout the complexes on an on-going basis throughout the academic year and summer terms
- Participate in an evening safety round rotation with fellow staff members; While performing rounds through the community, the student may be asked to identify and report policy violations, immediate maintenance concerns, and assist with crisis intervention and after-hours services
- Assist with programs, open houses, and facility tours
- Process mail and packages
- Attend weekly staff meetings and trainings, as needed
- Specific expectations and other duties assigned by the Office of Housing and Residence Life will be communicated as they arise.
Basic computer and technology knowledge, Ability to multitask; Punctuality and consistent attendance; Self-motivation and attention to detail; Mobility for rounds and apartment safety inspections; Effective communication skills both orally and in writing
Additional Preferred Qualifications:
Data entry, Multi-line telephone and customer service experience preferred; Preference will be given to applicants who can provide a long-term commitment and has availability year-round, including break-periods. Additionally, preference will be given to applicants who live in BSU housing, including University Apartments.
This position will be supervised by the Resident Manager position, and indirectly by the Assistant Director for University Apartments. Student will work under varying degrees of supervision. Some tasks will be closely supervised, while others will require indirect to moderate supervision. Student will need to work autonomously when no supervisor is present.
Student will not have supervision responsibilities.
Eligibility requirements include:
Maintaining good academic and disciplinary standing with the University, and remain an eligible student. Additionally, a Community Office Assistant must hold a valid U.S. driver’s license.
$7.25/hour, paid bi-weekly
Once hired, the continuation of employment is contingent on evaluated performance.
